Hi guys, sorry for the delay while we try to sort it.
I'm trying to check with the hosts whether they at any point altered the maximum emails per hour. I found references to it being changed from 1000 to 500 but I'm not sure whether that was just for new customers. If it was applied to us, then yes, it would be causing issues. (We were once in a while exceeding the 1000 limit).
I'm holding back on the minimum post thing until I know what limits we're dealing with.
I've also found what looks to be a useful set of ideas (quite techy). I've implemented the second one, we'll see if it makes any difference. I might have to do the first and fourth if the hosts have indeed placed such a low email limit. Third one doesn't apply. The fifth is interesting, I think the mod is up to date enough to work, which would mean that you'd get every email notification without having to visit the forum between them. On the one hand, you'd think this is counter-productive, we're trying to limit the number of emails we send out. But this sounds familiar:

By default a user receives only one notification email to say there are new posts on the forum, and receives no more until they have visited the forum. This can be problematic because the user may have missed an email, or it didn't get through, or just didn't get around to visiting the forum. Then they will receive no more notifications on that forum or topic.

OK, so the hosts say that they did indeed cut the emails-per-hour restriction from 1000 to 500. Really annoying that they didn't bother letting me (or presumably other customers) know.
A friend of a friend has a small hosting company which would allow for 1000 per hour.
So as I see it there are two options:
* Switch hosts. It might make the site load slower being a small company. Or it might be faster, being in the UK. Only way to find out is to try it.
* Use this site to handle the emails, per the advice in the link in the previous post. It allows 25000 per month for free. I have barely any idea how many we currently send out.
I think I'll try out the latter for now. The email provider offers analytics so I could get a sense of whether we'd exceed the 25000, and how much by.

1) Delays in seeing the confirmation page.
If this isn't fixed then multiple posts will continue (not from me).
2) Lots of codes for a single screening.
Not much can be done about that.
3) Unnecessary chat in FF.
It may be deleted on sight but the alert has already gone out.
25000/30=833 per day on average. Most days have no posts but our monthly average should be no more than 20 FF posts per month to stay under the limit. Its doable but I think that we need approval of some kind for the FF topic, so that the above problems can be eliminated. I would suggest a list of those who can post set up in the acp. It would allow instructions to be sent and read before approval to be allowed to post is made. No kind of mod is required for this, its all done through permissions.

Not sure how practical because it would take a bit of effort but what if there wasn't a universal free films board and the codes were posted and reposted in the regional boards (or by city) where appropriate?
There are 4 posts there now that only apply to 1 or 2 locations, potentially saving 100's of emails. Any unneccessary chat would only go out by region, rather than to everybody. I know there were no Liverpool screenings for Sicario, American Express Suffragette or Scouts Guide so there'd have been more forum posts but far less emails every time a region (forum structure already exists) or city is omitted from a screening?

The problem with that is that Free Films is the only part of this forum where you need to be registered to gain access. Everywhere else you can see as a guest. I do post the codes on the London board but these days with a delay so as to keep them as much for members as possible. Plus, if we posted the codes all over the regional boards, people would subscribe to those boards instead and it would get horribly complicated as you might have to post the same code in several regional boards. So even if we made the whole forum members only, I probably wouldn't want to do this.

This is odd. I have now had 3 emails, each an hour apart, for the FF alert at 16.53 tonight. At first I thought it was multiple alerts which were delayed, but the exact one hour difference between alerts makes me think something else is going on.
